Important Information Before Use
This Notice describes how DialogDocs ("we," "us," or "our") processes Personal Data in connection with DialogDocs and the website from which you obtained DialogDocs (collectively, the "Product"). In this Notice, "Personal Data" refers to information that identifies, relates to, describes, or may reasonably be associated, directly or indirectly, with a particular individual, as recognized under applicable law, including analogous concepts such as personal information and personally identifiable information. Information that does not independently identify an individual will nevertheless be regarded as Personal Data when it is combined with other information and remains linked or reasonably linkable to that individual.
Residents of certain U.S. states should also review the supplemental U.S. state section below, which contains additional disclosures and rights that may apply and also operates as a Notice at Collection and Privacy Notice for purposes of the CCPA.
This Notice covers Personal Data collected or otherwise processed in connection with downloading, installing, activating, accessing, or using the Product, as well as the website through which the Product is offered. In this Notice, "you," "your," and "user" mean the individual who uses the Product and, where applicable, the company or other organization for which that individual uses it.
For the purposes of applicable data protection laws, we are the "data controller," or the corresponding term under applicable law, with respect to Personal Data processed in connection with the Product, and we determine the purposes and means of that processing.

This Notice is intended to explain the categories of information we handle, the reasons we handle them, the ways that information may be used or disclosed, the safeguards we apply, and the choices and rights that may be available to you.
The Product is not designed for use by children under 16 years of age, and we do not knowingly collect or process Personal Data about children. If we learn that a child has supplied us with Personal Data, we will delete that information as soon as reasonably practicable. If you believe a child has provided information to us, please notify us promptly.
You are not legally obligated to provide us with Personal Data. However, if you do not provide certain information, portions of the Product may not function as intended, and we may be unable to respond to your requests or inquiries.
Personal Data We Process and Why We Process It
We process within our systems any Personal Data relating to the Product that you choose to provide or that we otherwise handle, and we treat it in accordance with this Notice. We disclose Personal Data to third parties only in the situations described in this Notice or where disclosure is required by applicable law. By downloading, installing, accessing, or using the Product, you acknowledge and accept the collection, use, disclosure, and retention of Personal Data as set out in this Notice. If you do not agree, you should not download, install, access, or use the Product. We may process the following categories of Personal Data:
Operational and Performance Records. We may handle information produced through your use of the Product, whether we collect it directly or through service providers acting on our behalf. This information may include features used, timestamps, session duration, clickstream information, technical events, and records concerning errors or troubleshooting. We use this information to assess Product performance, support internal development, resolve issues, enhance functionality, and maintain security, based on our legitimate interests in operating, maintaining, and improving the Product.
Materials You Submit Through the Product. We do not retain user content on our own servers or upload that content to our systems for storage. Once processing is completed and the applicable output has been generated, the output is made available to you and remains stored locally on your device. If you are authorized to do so, materials submitted through the Product may contain Personal Data about individuals other than you, including names or descriptions of other persons. You should not submit Personal Data about any other person if you lack the required authority or any necessary consent. To the extent that the Product processes Personal Data about individuals other than you, we rely on our legitimate interests in providing our users with a functional and available Product.
Technical and Device Signals. We may process technical identifiers and online identifiers associated with your device or your use of the Product, including your Internet Protocol (IP) address, device identifiers, browser-based identifiers, Google advertising ID (GAID), and similar identifiers. Where we use these identifiers to operate the Product, support its functionality, protect the Product, or prevent fraud, we rely on our legitimate interests. Where they are used for marketing, targeted advertising, or tracking technologies, we rely on your consent as described elsewhere in this Notice.
Support and Correspondence Files. If you contact us for Product support or otherwise communicate with us about the Product, we may process your contact details, the contents of your request, and any other information you elect to provide. We use this information to respond to you, provide support, communicate about your request, and keep records of support interactions. We may also retain these communications for future reference, to improve our services, and to train support personnel, relying on performance of our contract with you where support forms part of providing the Product and otherwise on our legitimate interests in recordkeeping and improving support operations.
We use Personal Data and related information for various operational, business, compliance, and communications purposes associated with the Product, including the following:
Managing and Improving the Product. We use information to operate, maintain, support, assess, analyze, and enhance the Product and its features. This includes monitoring performance, addressing technical problems, evaluating usability and compatibility, understanding the user experience, and creating updates, improvements, and additional functionality that support our operational and business requirements.
Protecting the Product and Related Systems. We use information to preserve the security, integrity, and reliability of the Product, our systems, and our users. This includes detecting and helping prevent fraud, misuse, unauthorized conduct, and other activity that may violate our terms or applicable law, as well as implementing appropriate measures to protect our services and infrastructure.
Providing Product Access and Functionality. We process information as needed to provide you with access to the Product and to enable its features and functions.
Personalization, Promotion, and Advertising. We may use Personal Data to facilitate personalization, promotional initiatives, advertising, and marketing activities, including to help make content, communications, and advertisements more relevant to your interests and interactions with the Product.
Your Privacy Rights and How to Exercise Them
Based on the laws applicable in your place of residence, you may be entitled to certain rights relating to the Personal Data we process about you. Where applicable law provides these rights, we are committed to supporting their exercise and responding in line with applicable legal requirements.
Right to Object and Data Portability. To the extent provided by applicable law, you may be entitled to object to certain processing of your Personal Data and to ask that your Personal Data be supplied in a portable format or transmitted to another party where technically feasible.
Right to Know and Access. You may ask us to confirm whether we process your Personal Data and, where applicable, request access to or a copy of the Personal Data we hold about you.
Right to Correct or Delete. You may be entitled to request the correction of inaccurate or incomplete Personal Data, the deletion of certain Personal Data, the erasure of Personal Data in circumstances recognized by applicable law, or the restriction of our processing of Personal Data where that right is available.
Right to Raise Concerns or Challenge a Decision. Where applicable, you may have the right to appeal a decision we make concerning a request you submit or to file a complaint with the relevant authority.

Cookies and Similar Technologies Used by the Product
Depending on the interface through which you access the Product, we may use cookies and comparable technologies in connection with your browsing, access to, and use of the Product. These technologies may be placed on, stored on, or otherwise linked to your device while you use applicable Product functionality. Generally, cookies are small text files that are commonly used in web-based settings.
We use these technologies to facilitate the operation and usability of the Product, including by enabling efficient navigation, automatically supporting certain features, retaining settings and preferences, and making your interactions with our services more effective and responsive.
Please review this Notice before downloading, installing, activating, accessing, or using the Product.
Our Security Measures and Their Limitations
We maintain a security program that incorporates technical, administrative, and operational safeguards intended to protect the Personal Data we process in connection with the Product and to support the confidentiality, integrity, and availability of our systems and services.
The safeguards we use are designed to reflect the nature and sensitivity of the information concerned. Our personnel apply generally accepted technical, administrative, and organizational practices intended to help minimize the risk of unauthorized access, misuse, loss, alteration, or disclosure.
Despite these measures, no transmission method, storage method, or security measure can be assured to be completely secure. We therefore cannot guarantee absolute security.
Disclosures, Third-Party Recipients, and International Data Transfers
We may disclose Personal Data processed in connection with the Product in limited circumstances when the disclosure is consistent with this Notice, supports our operations, or is required by applicable law.
Legal Compliance and Protection. We may disclose Personal Data where we believe disclosure is necessary or appropriate to comply with applicable law, legal process, subpoenas, warrants, court orders, or other binding requests, or where it is needed to investigate or address unlawful conduct, Product misuse, security incidents, or threats to the rights or safety of any individual or entity.
Service Providers, Affiliates, and Product Support Partners. We may disclose Personal Data to our affiliates, subsidiaries, service providers, advertisers, and other third parties that assist us with operating, supporting, maintaining, marketing, administering, or improving the Product.
Measurement and Analytics Partners. We may disclose information to analytics providers and similar partners that help us measure, evaluate, and understand the Product's performance, usage, and effectiveness, including through aggregated or statistical reports.
Corporate Events and Business Changes. Personal Data may be disclosed or transferred in connection with an actual or proposed merger, acquisition, financing, restructuring, asset sale, consolidation, or other significant corporate transaction or business change involving our company.
Certain recipients of Personal Data may be located in countries other than your own, including, where applicable, countries outside the EEA. In those circumstances, we take steps intended to ensure that those recipients are subject to privacy and security obligations consistent with this Notice and applicable law. Where required, we implement appropriate safeguards for international transfers, including contractual safeguards and other lawful transfer mechanisms intended to protect Personal Data processed across borders.
Updates to This Notice and the Data Lifecycle
We may revise this Notice from time to time to reflect changes to the Product, our data-handling practices, or applicable legal requirements. Any updated version will be made available on our website and, unless otherwise stated, will take effect when posted. We encourage you to review this Notice periodically so that you remain informed of any updates.
Subject to applicable law, you may have the right to request deletion of your Personal Data in certain circumstances. However, unless we are required to retain Personal Data by law or under a specific agreement, we are not obligated to retain it for a fixed period and may securely delete, anonymize, or restrict access to it when it is no longer required for legitimate business purposes.
Retention of Personal Data
Unless this Notice specifies a different retention period, we retain Personal Data for as long as is reasonably necessary to fulfill the purposes for which it was collected, as permitted or required by applicable law. We may retain Personal Data for a longer period when necessary to meet legal, regulatory, tax, or accounting obligations, maintain appropriate business records, resolve complaints or disputes, or establish, exercise, or defend legal claims.
U.S. State Privacy Addendum
This section supplements the remainder of this Notice for residents of certain U.S. states. It provides further disclosures regarding how we collect, use, disclose, and otherwise process Personal Data when those disclosures are required under applicable U.S. state privacy laws.
In addition to the rights explained elsewhere in this Notice, residents of certain U.S. states may have additional rights under applicable privacy laws, subject to the scope, limitations, exceptions, and exclusions set out in those laws.
Certain U.S. privacy laws require us to provide consumers with a notice that clearly describes, among other matters, the categories of Personal Data we collect or process, the purposes for that processing, the categories of third parties to whom we disclose Personal Data, whether any category of Personal Data is sold or used for targeted advertising, the categories of third parties involved in those activities, the rights available to consumers, the methods for exercising and appealing those rights, and how to contact us. This Notice, together with the supplementary information below, is intended to satisfy those disclosure requirements.
Disclosures Regarding Sales and Targeted Advertising
Under certain U.S. state privacy laws, the term "sale" may be defined broadly enough to include the sharing or other availability of Personal Data to a third party in exchange for monetary or other valuable consideration, including for targeted-advertising purposes.
We do not sell Personal Data in the conventional sense of directly receiving money in exchange for information about you.
However, depending on how applicable law defines "sale," our use of cookies and similar tracking technologies, third-party advertising providers, and certain related disclosures of Personal Data to third parties, including analytics providers, may be considered a "sale" or processing for targeted advertising.
The categories of Personal Data that may be involved in these activities include unique identifiers, such as device identifiers and IP addresses; internet or other electronic network activity information, such as interactions with our services; and geolocation information derived from IP address data.
Categories of Personal Data Covered by This Notice
The section titled "PERSONAL DATA WE PROCESS AND WHY WE PROCESS IT" explains the categories of Personal Data we collect or otherwise process in connection with the Product, as well as the purposes for which we collect, use, retain, or otherwise handle that Personal Data. We do not process the Personal Data we collect for purposes that are materially different from, unrelated to, or incompatible with the purposes stated in this Notice, and we do not collect new categories of Personal Data without providing notice and obtaining consent where applicable law requires it, unless applicable law otherwise permits or requires us to do so.
Additional State-Specific Privacy Rights
Residents of certain U.S. states may have rights under applicable privacy laws in addition to those described above in the section titled "YOUR PRIVACY RIGHTS AND HOW TO EXERCISE THEM." These rights are subject to the scope, exceptions, limitations, and exclusions provided by applicable law and may include the following:
You may have the right to ask us to confirm whether we process your Personal Data and, where technically feasible, to provide access to that Personal Data in a portable and readily usable form.
You may also have the right to request correction of inaccurate Personal Data, deletion of Personal Data you provided to us or that we collected about you, and, in certain cases, a list identifying the specific third parties to whom we disclosed Personal Data relating to you or any Personal Data.
Where applicable law grants this right, you may also opt out of certain processing activities, including the "sale" of Personal Data, targeted advertising, and profiling undertaken in furtherance of decisions that produce legal effects or similarly significant effects. We do not engage in profiling in furtherance of decisions that produce legal effects or similarly significant effects.
If we decline to act on your request, you may have the right to appeal that decision. You may also have the right not to be subject to discriminatory treatment for exercising privacy rights available to you under applicable law.

We will process each request within the timeframes required by applicable law and may, where legally permitted, extend those timeframes if we provide any notice required to do so. If we determine that we cannot act on a request, we will notify you of that determination, explain the reasons for it, and, where applicable, describe the procedure for submitting an appeal. We will consider and resolve any appeal within the timeframe required by applicable law. If an appeal is unsuccessful, you may also have the right to bring the matter to, or file a complaint with, the appropriate supervisory authority, regulator, or Attorney General in your jurisdiction.
